Position Overview

Working both cooperatively and independently, the Recruitment & Outreach Specialist will join a team structured to increase the impact of Helping Education programming. The primary focus of this position is to facilitate volunteer recruitment and partner outreach. The Recruitment & Outreach Specialist will work with the Recruitment & Outreach Manager to maintain, foster, and enrich relationships with corporate and community partners. The Recruitment & Outreach Specialist will represent Helping Education through written and verbal communication with prospective and current partners, including by designing and delivering presentations. The Recruitment & Outreach Specialist will collaborate with the Recruitment & Outreach Manager to develop and refine recruitment systems.

Additionally, this position will take the lead in creating and updating weekly tutoring schedules for tutors, students, and schools in the Charlotte area. Scheduling includes creating individual tutor and program schedules that house important student information and data. The Recruitment & Outreach Specialist is the organizational and logistical coordinator that allows tutoring to run smoothly for tutors, students, schools, and Helping Education staff. The Recruitment & Outreach Specialist will communicate directly with volunteer tutors to resolve their questions. The Recruitment & Outreach Specialist will also develop and distribute regular, weekly updates to tutors with support from our Advancement team. The position is responsible for tasks related to volunteer training, scheduling, and management in the Charlotte area.

The ideal candidate will have exceptional attention to detail, exemplary communication and time management skills, and relevant experience successfully collecting, managing, and using information accurately. The Recruitment & Outreach Specialist will work under the supervision of the Recruitment & Outreach Manager.

Detailed Job Description

The primary tasks of the Recruitment & Outreach Specialist will include:

  • Assist with the recruitment of new talent to the organization, through collaborating with the Recruitment & Outreach Manager to do the following as needed:
  • Support the development of recruitment goals and strategies;
  • Identify key target demographics and channels for volunteer outreach;
  • Support in the creation of written materials for recruitment;
  • Publicize volunteer, internship, and employment opportunities;
  • Discuss Helping Education volunteer opportunities at in-person and virtual recruitment event:
  • Manage recruitment partnerships with external organizations;
  • Support and document recruitment follow-up with prospective volunteers;
  • Utilize CRM to maintain up-to-date records of volunteer contacts.
  • Collaborate with Recruitment & Outreach Manager to develop and improve upon systems to support high-quality tutor involvement, including but not limited to: tutor recruitment, online registration, tutor databases and tracking, background check clearance, and training attendance and follow-up.
  • Clearly convey key information to internal and external stakeholders, including:
  • Creating and distributing weekly newsletter to volunteers.
  • Processing information to produce reports regarding student numbers, tutor numbers, tutor availability, and school numbers as needed.
  • Become a direct point of contact for tutors and Helping Education Staff regarding scheduling. For example, the Recruitment & Outreach Specialist will:
  • Monitor and process incoming tutor training registrations;
  • Create, maintain, and distribute weekly program schedules to colleagues;
  • Create, maintain, and distribute weekly tutor schedules for paid and volunteer tutors;
  • Directly manage volunteer tutors, including through the following responsibilities:
  • Maintain records reflecting tutors’ cumulative donated hours;
  • Document and help to resolve tutor absences;
  • Answer any questions tutors may have about their schedules;
  • Adapt tutor schedules as needed due to availability changes.
  • Develop hands-on experience implementing HELPS 1:1 tutoring curriculum.
  • Additional duties as assigned.

Desired Skills, Experience, and Characteristics

The Recruitment & Outreach Specialist should have the following skills, education and experience:

  • Minimum 3-5 years of work experience demonstrating excellence supporting stakeholders. In this role, customer service support will be provided to volunteers, external partners, and others.
  • Minimum of bachelor’s degree or equivalent education; priority may be given to those with more advanced degrees.
  • A focused and proactive approach to work with a self-starter mindset.
  • Ability to work independently, handling multiple tasks and completing them in a thorough, accurate, and timely manner.

  • Technologically proficient in office technology systems including Google Suite, including Google Sheets and Google Docs; Canva; PowerPoint; MS Word; Excel; email; Monday.com; and virtual meeting platforms (such as Zoom or Google Meet).
  • Comfort with Zoom to support tutors/volunteers with some technical assistance and troubleshooting, as necessary.

Preferred Skills

  • Bachelor’s degree in Education, Psychology or related social science field.
  • Proficiency utilizing the HELPS 1:1 tutoring program (training will be provided after employment begins, as needed).
  • Experience with using CRM software is a plus.
  • Experience creating and managing ongoing schedules for large groups of people is ideal.
  • Language skills in addition to English, while not required, are a plus.

Pay and Benefits

The pay rate for this position will be commensurate with experience and will range from $22.00 to $25.00 an hour, commensurate with experience.

This role will begin at twenty-nine hours weekly with the possibility for growth.

Work Environment

This is a remote position; occasional in-person work may be required. Ideal candidates will be able to travel to at least one of the following areas as needed: the Charlotte region, Guilford county, or the Research Triangle.
